INSTALLATION INSTRUCTIONS TABLE OF CONTENTS ----------------- 1) Overview 2) Installation for Vista Users 3) Installation 4) System Requirements 5) Macro Security Setting for Users of Option B 6) Contact Info ----------- 1) OVERVIEW: ----------- The Electronic Reporting Options Web Site, as well as the CD contains three sets of tools to aid in the electronic reporting of pesticide data. The three choices are: Option A. Install and use a custom PRL program (PRL_eforms.exe) that will allow you to enter data. Option B. Use Microsoft Excel Version 97 or higher and Excel electronic PRL Forms (PRL_OptionB.exe) to enter data. Option C. Use any program to create ASCII text files that follow a set of PRL guidelines about format, content and file name. These guidelines are contained in a file called "Guidelines.txt" that will be installed in the folder "c:\Program Files\Nysprl\OptionC." This will then allow you to use a text file validation program (Validate.exe) to verify that the PRL files meet the requirements. PLEASE NOTE: You must validate all PRL ASCII text files before submission. ASCII text files that do not conform to the required format- will be rejected by NYSDEC. -------------------------------- 2) INSTALLATION FOR VISTA USERS: -------------------------------- To install the software on computers running the Vista opertating system, log on as administrator or with administrator rights. After logging on, right click on the installation file and select "Run As Administrator". Contact your system administrator or PSUR (see Contact Info section) if further assistance is needed. Continue installing the software in accordance with the instructions in the Installation section. --------------- 3) INSTALLATION --------------- For files downloaded from www.nysprl.com, simply click on the downloaded file. For files from the eForms CD, each option is installed by running its associated file: Option A - run OptionA\Setup.exe Option B - run OptionB\Setup.exe Option C - run OptionC\Setup.exe In other words each setup.exe file is stored in an associated folder {called OptionB, OptionA or OptionC} on the CD.) You may be prompted to uninstall an existing version of the program. Go to the START menu; choose Settings -> Control Panel -> Add/Remove Programs. In the Add/ Remove dialog, navigate to OptionB (or OptionA or OptionC) and click on it. Then click the Change/Remove button and follow the prompts. If you aren't prompted to uninstall, just answer the dialogs presented by the installation program to complete the install. It is recommended that you accept the default settings. When each option is installed, a data file folder will be created called "C:\prlYYYY" (where "YYYY" = current year). Program files will be copied to subdirectories under "C:\Program Files\Nysprl\" as follows: Option A into "C:\Program Files\Nysprl\OptionA" Option B into "C:\Program Files\Nysprl\OptionB" Option C into "C:\Program Files\Nysprl\OptionC" Each program has a registration screen that when filled out will create a file in the "C:\prlYYYY" (where "YYYY" = current year) folder called identity.txt. You will need to include this file with any electronic data sent to NYSDEC or to its subcontractor, the Pesticide Sales and Use Database Group (PSUR) at Cornell University. ---------------------- 4) SYSTEM REQUIREMENTS: ---------------------- All options require an IBM compatible personal computer running Windows 95, or higher. Minimum Free Disk Space: 5 MB + space for entered data. A Mouse CD-ROM drive. Option B requires Microsoft Excel 97 or higher. Always close any running programs before installing new software. It is also important to have a recent backup of any key data. This CD has been tested on many operating systems and configurations, but not all combinations of software and hardware have been tested for suitability for use with these programs. ----------------------------------------------- 5) Macro Security Setting for Users of Option B: ----------------------------------------------- The Excel eForms contain macros which need to be enabled. Typically when opening a new eForm, a message box will ask you if you want to enable or disable the macros. Excel 2000 and higher versions of Excel have the default macro setting set to High, which automatically disables the macros. You need to change this setting to Medium. After you have made the change, Excel will prompt you to enable or disable macros each time you open a workbook. To change the settings, perform one of the actions listed below. Excel 2000: To set the macro security level to Medium, which only needs to be done once, follow these steps. 1. Start Excel. 2. On the Tools menu, point to Macro and click Security. 3. In the Security dialog box, click the Security Level tab. 4. Click Medium and then click OK. 5. Save your work and then close Excel. (The security-level changes will not take effect until Excel is restarted). 6. (Re) Open the Option B form. When prompted to enable or disable macros, click Enable Macros. Excel 2002: To set the macro security level to Medium, which only needs to be done once, follow these steps. 1. Start Excel. 2. On Tools menu, click Options. 3. Click on the Security tab (upper right hand corner). 4. In the Security dialog box, click the Macro Security button. 5. Click Medium and then click OK. 6. Click OK. 7. Save your work and then close Excel. (The security-level changes will not take effect until Excel is restarted). 8. Reopen the Option B form. When prompted whether to enable or disable macros, click Enable Macros. --------------- 6) CONTACT INFO: --------------- We have tried to make these eForm templates as easy to use as possible.
